Job Description:

The Director of Ministry Services provides leadership to the administrative and operational resources of ECC’s ministry via the Operations team. This Director engages in systems and resource development and management to foster positive outcomes for ECC’s Governance, Information Services, Human Resources, Facilities and Covenant Events.

In collaboration with the Executive Director of Operations and Executive Director of Ministry Development, this strategic leader will increase and enhance overall productivity of 8303 systems by actively engaging in day-to-day operations - analyzing information and processes, monitoring performance and synergy, implementing improvement strategies, coaching and supporting constituency engagement.

Essential Functions

  • Engage in a professional, hospitable, and courteous manner with constituency when managing electronic, phone and in-person communication.
  • Optimize stewardship of ministry resources by applying business and management principles involved in strategic planning, resource allocation, human resources, leadership technique, business processes, and coordination of people and resources to ministry operations.
  • Analyze structure, scenarios, processes, resources and/or data to inform operational decisions, procedures and/or activities. Implements solutions to ensure vision is fulfilled with utmost excellence and effectiveness.
  • Assist with dashboard and metrics development and management to assure deadlines, standards, and performance targets are achieved.
  • Manage engagement strategies and protocols for ECC personnel and key constituent groups:
  • Make travel arrangements (flight, lodging, etc.) and support event registration for constituency and staff and in accordance with travel policies.
  • Coordinate meeting and events logistics (reservations, catering, setting, media, technology, communication, etc.) and assist with hospitality.
  • Process inquiries from constituency; respond and/or direct to the appropriate person according to need.
  • Perform research, collect data and formulate recommendations that elevate constituency’s engagement and experience, as well as improve meeting outcomes.
  • Help administer interfacing, multi-year meeting and event schedules in order to inform, lead and guide communication and efforts; as well as obtain necessary reviews and approvals in a timely manner.
  • Supervise 501c3 group exemption process and ECC’s required legal filings.
  • Steward the denomination’s administrative details that relate to ECC Governance and Leadership.
  • Coordinate logistics and provide support for leadership meetings and their corresponding stakeholders:
  • Ensure that all meeting logistics and engagement reflect the mission, values, goals, vision and standards of ECC and ECC leadership.
  • Effectively communicate in verbal and written form with stakeholders to support responsive and timely preparation for engagements.
  • Formulate draft agendas for approval by appropriate leadership.
  • Prepare all written communication, presentations, and recordkeeping resources to be utilized in meetings and thereinafter.
  • Ensure that minutes are produced and on file, compiling and transcribing as warranted.
  • In accordance with Record Retention Policy, monitor and maintain all documents, minutes, files, processes and protocols for Governance meetings and functions.
  • Manage all meeting and participant expenses and ensures adherence to finance guidelines for payment and reimbursement.
  • Gain working familiarity with existing operational playbooks, procedures and policy documents to ensure alignment, responsiveness and compliance. Collaborate with leadership on the new development and implementation thereof.
  • Maintain paperwork and files; update and create additional dossiers, as needed
  • Manage and produce incoming/outgoing correspondence, whether bulk or individual, as requested.
  • Formulate queries and reports using information derived from assessments, databases, historical data and/or applications to inform efforts and strategies.
  • Provide support and contribute to team efforts prior, during and after engagements (set-up, breakdown, packing, mounting, signage, customer service, hospitality, etc.)
  • Other duties as assigned by Executive Director of Operations.

Experience and Skills:

Education and Experience
Required: A Bachelor degree in Business, Administration, Management or related field. At least five years in an advanced management, operations, administrative position, including experience in: project management; executive pastor/operations leadership, ministry, board/executive level engagement; and engagement with internal and external audiences. Experience in public relations, communications, systems management and coordination of resources.
Preferred: Master’s degree. Minimum of three years of personal engagement with the ECC. Experience in upholding, interpreting, and providing guidance on governance policies, procedures and protocol manuals.


  • Mastery of Microsoft and Windows applications, databases development and management, and web technologies. Type a minimum of 45 words per minute.
  • Detail oriented, strong organization, prioritization and time-management skills are eminent.
  • Knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, labor relations and negotiation, and personnel information systems.
  • Excels in attention to detail with high level of accuracy in the preparation of documents, reports, and correspondence.
  • Works well under pressure and is able to accomplish multiple tasks, with conflicting priorities and timelines. Ability to track and report progress on a wide range of tasks, simultaneously.
  • Ability to respond to and deal with a range of ad hoc queries/requests.
  • Ability to operate with discretion and confidentiality at all times.
  • Maintains flexibility in approach and adjusts actions when appropriate.
  • Ability to coordinate and manage logistics for small and large engagements.
  • Excellent business, management and people skills to embrace diversity of schedules, backgrounds, formats, contexts, etc.
  • Uses critical thinking skills, applying logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to address challenges.
  • Self-starter, with the ability to work independently.

Environment Conditions
Able to work well in professional office setting, but occasionally works in remote locales. Occasional domestic travel and some weekend engagements. Must be versatile and able to work for prolong segments sitting or standing. Must engage frequently with office tools and equipment, such as: computer, copier, phone, web-conferencing equipment, cell communication, printers, etc. Must be able to occasionally lift or move items, less than 35lbs
